Assessment Email Automation

Improve respondent engagement with automated emails

Keep respondents engaged from start to finish in your assessments. Automated emails offer an effective way to stay in touch, guide respondents through the assessment process, increase completion rates, and create a more personalized experience.

Staying engaged

Keeping respondents engaged throughout an assessment can be the difference between gathering meaningful data and incomplete results.

Assessments can easily be overlooked. Automated emails help prevent this by guiding respondents through each stage, from the welcome email to timely reminders and completion notifications, ensuring responses stay on track.

Using automated emails in Brilliant Assessments can improve engagement, increase response rates, and can even be used for marketing additional reports.

Increase response
rate

Schedule emails to trigger after a stage of the assessment, before deadlines, or a set number of days after starting. This is especially helpful for more extended or multi-phase assessments.

Personalize
communication

Adding dynamic merge fields to make emails feel more relevant. This includes name, links to the assessment or you can merge in the subject’s name to add clarification to 360 assessment communications.

Brand every element
of emails

Emails can be branded to your preferences using an in-app table style editor. You can also set up emails to come from your domain, which helps to ensure they don’t end up in spam.

Email Types

Get respondents started with a welcome email

A Welcome Email is often the first point of contact for respondents after they begin an assessment. This is a great chance to set the scene for what lies ahead. The email includes a direct link to their assessment, making it easy for them to start.

When a welcome email is sent

When a response is created

This means it can happen immediately after manually uploading responses to the system.

When a linked email field is completed

Welcome emails can also be sent when the respondent begins the assessment and enters their email address in a linked field. This can be helpful for reinitiation.

Keep respondents on track with auto-reminders

Auto reminders gently nudge respondents who have yet to complete their assessments. A link to the response can also be included to let them pick up where they left off. These reminders help ensure assessments are completed, especially for multi-dependency assessments like 360s.

Days after response created

Send reminders to those who have not completed their assessment a set number of days after response creation.

Days before the completion date

This is available for cohort assessments and can be sent a set number of days before the assessment completion due date.

Email Types

Deliver feedback in a completion email

Once the respondent finishes their assessment, the Completion Email is sent. If a downloadable report is attached to the assessment, this will automatically be attached to the email. You can also include a link back to the results page in this email.

Email Types

Stay engaged and upsell reports with follow-up emails

For ongoing engagement, the Feedback Follow-up email can be sent several days after the completion email. This is typically used for marketing and upselling additional feedback reports or drip feed detailed insights and actions after the assessment.
